How does EzMind work?▼
EzMind is a small dedicated appliance that lives in your shop on a counter or shelf. Inside is a purpose-built computer with the EzMind software pre-installed and configured. You plug it into power and your shop's network, and it starts running. EzMind ingests your existing shop data: past invoices, repair orders, customer records, and vehicle histories, then learns your shop's actual patterns. It operates alongside whatever shop management software you already use (Mitchell1, Shopmonkey, Tekmetric, or anything else). It does not replace your existing tools; it adds an intelligent layer on top of them. Your staff interacts with EzMind through existing devices: service writers on the counter computer, technicians on tablets in the bay, and the owner on a phone or laptop from anywhere on the shop's network. There is no app to install for each person; EzMind serves a clean interface to any browser. The intelligence layer handles work that takes too much time today: rewriting tech findings into customer-friendly language, composing estimates, sending SMS approval requests, tracking declined work for future follow-up, watching operational trends, generating the morning briefing, and surfacing answers when you ask questions in plain English. Everything runs locally on the appliance. Your data never leaves your building. There is no cloud subscription, no SaaS dependency, and no third-party AI provider with access to your customers. If your internet goes down, EzMind keeps running. When EzMind needs to send SMS to your customers, it uses your shop's own Twilio account: your phone numbers, your billing, your compliance. EzMind provides the messaging engine; the customer relationship stays yours.
How does EzMind avoid hallucinations and made-up answers?▼
Most AI systems work by asking a language model to figure out the answer from whatever it can guess. That is why public AI tools sometimes invent customers, fabricate vehicle histories, or quote prices that do not exist. The language model is doing its best to sound right, even when it does not actually know. EzMind is built the opposite way. Every factual answer comes from your shop's database: real records, real numbers, real history. The language model's job is to translate your question into a database query, retrieve the actual data, and then phrase the answer in plain English. It never invents facts, because it never has to. The facts are already there. When you ask "How many Honda Civic starters have we replaced?" EzMind runs an actual count against your repair history and reports the real number. When you ask "What did Mr. Jones spend last quarter?" it queries the actual invoices and returns the actual total. The language layer makes the conversation natural; the database makes the answer true. This deterministic architecture is why EzMind can be trusted with real operational decisions. The intelligence is in the question-understanding and the response-phrasing. The truth is in your shop's data.
How do I set up my EzMind appliance?▼
You don't, we do. Initial setup is handled by the EzMind team during install. In the event we ship a system to you, it will be pre-configured with your WLAN credentials so you can access the EzMind web portal on startup. EzMind is a headless appliance server broadcasting over Portable Web App (PWA). There is no mouse, keyboard, or monitor included with it, just two tablets. Any monitors or devices you already use that can open a web page can also open your EzMind once the appliance is connected to your local network.
What happens if my appliance loses power?▼
We recommend connecting EzMind to a UPS. If a UPS is not available, the system still shuts down safely without issues since all drives are solid-state. Core data remains local to your appliance, and backup strategy is configured during deployment.
Can I access EzMind remotely?▼
Yes, through a Tailscale virtual VPN tunnel only, and we help you set it up. By design, EzMind does not expose public internet interfaces or portals. If needed, EzMind can run owner-authorized, containerized agents that fetch specific public data (for example weather and other task-relevant information) and return only that data. With per-user Tailscale permissions, owners can securely review shop performance from anywhere, including from home while the appliance remains at the office. Technicians can also support field or mobile work over cellular with approved Tailscale access. EzMind Inc. can be added to the owner-managed permission list for occasional over-the-air system updates, new feature deployment, troubleshooting, and repair.
How often are software updates released?▼
EzMind was designed as an austere system capable of years of fully standalone service with no updates and no internet required. What works today should keep working if nothing is altered. We keep a voluntary option open for occasional updates that deliver tested, useful improvements, and EzMind Inc. will not pull the rug out from under you or force a restart of your workflow once you are dialed in. For remote access and optional update support, you will need a Tailscale account and can grant EzMind Inc. access that you can revoke at any time. We assist with a typical five-minute Tailscale setup during delivery. Because EzMind is not a public-facing system, its security profile is lower and does not require constant patch churn.
What warranty is included?▼
Limited lifetime warranty on chassis enclosure. Three years on the electronic components (3450 motherboard, GPU, SSD memory RAM excluded). Limited lifetime warranties on plastic components provided through UAM&P Inc.
Is my data secure?▼
Yes. EzMind is built around offline, on-premises operation so your business data stays under your control.
How do I opt in or out of EzMind text message updates?▼
Use the SMS Updates form on the home page to request text message updates or to opt out. You can also reply STOP to any EzMind text message to opt out immediately. For help with a specific number, contact us and we will update your preference manually.
